Viedoc Me System Functionality
Q: Could you explain how the ePRO user session is managed on mobile devices? For example: Does the user get automatically logged out after a specified period of inactivity (e.g., 5 or 10 minutes)? What happens if the user loses network connectivity—will their session persist, and how is data synchronized once the connection is restored? Thank you.
A: As outlined in Using Viedoc Me (information for study participants) in Section 7.4, it is noted that ‘The application will automatically log you out from Viedoc Me after 20 minutes of inactivity.’
If the user loses network connectivity for less than 5 minutes, the user is still logged in and can continue their work. If the user loses network connectivity for more than 5 minutes, the user is logged out. The user will have to log back in and begin the Viedoc Me questionnaire again.
Q: Do you plan to enhance data integrity and compliance in future releases by incorporating features such as two‑factor authentication or biometric verification (e.g., facial recognition)?
A: During the webinar, I mentioned that users can configure their password manager on their phone to utilize biometric verification like their fingerprint and/or face ID, depending on their device.
Q: In the Viedoc Me panel the patient receives as feedback which many patients find confusing - You are almost completed - even though you have maybe 5 additional questionnaires to fulfill. How about improving this - a progress indicator that clearly shows the patients how far they have come in terms of all the scheduled task?
A: This is an existing feature request to either bring the patient into their next questionnaire automatically, or for the design tool to allow your team to update the Viedoc Me system text to what you see fit. We have seen some designers add static text at the end of questionnaires, reminding participants that there is another questionnaire to complete.
Q: Do patients need an iPhone or an app from the App Store to use this?
A: No, they do not need a specific device, just one that connects to the internet. They also don’t need to download an app. The Viedoc Me URL is used to log in from any internet-connected device.
Study Workflow – Viedoc Me Scheduling / Reminders
Q: Can an ePRO be scheduled based on two different dates? For instance, one that can be completed starting from the date of the enrollment visit (first date) and up to 7 days after the baseline visit (second date).
A: Scheduling currently allows for a proposed date calculation based on one reference date. Two dates are not supported at this time.
Q: Is it possible to set an ePRO so that it can be filled in at any time for example at enrollment visit and then follows specific time windows at the subsequent follow-up?
A: Yes, as you set these events up for the different time periods, you can have one ePRO Event set to be available at the same time as Enrollment visit to align with the Enrollment visit event date, and then there can be specific day and/or time windows for the subsequent follow-up questionnaires.
Q: I see that the unscheduled ePRO visits show up in the Common Events list in clinic — are they set up in designer workflow as a common event, or as unscheduled?
A: They can be set up as both Common Events, and as an Unscheduled Event in the Study Workflow of Designer. If it is set up as an Unscheduled event, it will appear as its own visit tab in the study workflow area of the clinic view of the participant when the questionnaire is submitted by the participant. If the ePRO event is set up under common events, the forms will populate on the left side of the clinic view with the other common events that are enterable by the clinic users.
Q: Just a quick reminder—I understand that currently, only the fixed time of at time (XX:00) can be set. Would it be possible to allow for more granular settings, such as by the minute, in a future update?
A: You are able to input whatever time you would like for timing of questionnaires, and reminder times. To test it, I was able to set reminders for 11:15, 11:21, 11:30, without issue, and if you need any other minute marks ending in another number than 0 or 5, you don’t have to use the arrows for the time field, you can type in a specific minute value.
VAS (Visual Analog Scale) Field Element
Q: Is the VAS representation of pain given in percentage? If the VAS is "selected value" out of 100, then that would be the percent, no?
A: As mentioned in the webinar, the Visual Analog Scale is based on a paper version where a numerical value is 0-100 mm. There is no option to add a unit of percentage. More information is available on the VAS field element in Configuring subject-initiated (Viedoc Me) events, section 2.1.3.
Viedoc Share
Q: If I want to share a document by Viedoc Share in Viedoc Me do I need to design a scheduled event with at least form?
A: As Viedoc Share documents are shared via the electronic Trial Master File (Viedoc TMF), the system does not require you to also have a designated form unless you need to capture data in addition to the document from the participant.
